Henderson Engineers is seeking a Senior Administrative Specialist to join the Operations Engineering team. The Senior Administrative Specialist will be responsible for providing project/program support for the Operations Engineering team that works cross-functionally with all sectors and disciplines. They will be required to perform high-level office and administrative support tasks. This employee will support a team within the organization by coordinating calendars, scheduling meetings, organizing events, and managing the team budget. This employee will provide training and support to other Admins across the other sectors. The Senior Administrative Specialist will use discretion to make judgments based on operating guidelines and with respect to communications and confidentiality.
Minimum Qualifications for the Role are:
- High School Diploma or General Education Degree (GED) required.
- 5 years’ relevant experience required.
- Previous office experience required.
- Requires a broad understanding of Henderson and/or HBS operations, organizational procedures, and personnel.
- Proven ability to work with a wide range of disciplines connected with the successful completion of projects.
Preferred Qualifications:
- Associate or Bachelor’s degree preferred.
Responsibilities and Duties:
- Acts as team liaison to other members of management.
- Help delegate tasks such as lunch and learn processes throughout the company.
- Organizing and communicating discipline fundamentals, schedules, adding new hires, confirming presenters, and being flexible with last minute calendar changes.
- Handle expense reports and time sheets.
- Involved in helping organize company meetings, new hire events, and fun bunch on an as needed basis.
- Keep Company calendar up to date on Fundamentals and Vendor Office Hours.
- Coordinate and manage Summits, Boot Camps, and special meetings with vendors/customers for team members.
- Keep snacks supplied for teams.
- Track new hires, interns, schedule them into fundamentals when they start.
- Attend Technical Director meetings, take notes and post.
- Cover receptionist desk as needed.
- Track and recognize team birthday’s and company anniversaries.
- Develop PowerPoints and teaching materials and/or produce videos for admin training across the company.
- Responsible for the training of other administrative employees throughout other sectors.
- Master/Learn Click Up.
- Track down PDH/CEU certificates for engineers if they have not received them in a reasonable time with the vendor.
- Sustainability - Recording electricity, gas, and water for ALL Henderson locations on an excel spreadsheet.
- Schedule Vendor office hours annually and add new requested by Leaders.
- Will be required to set up meetings and get panelist for the PE informational sessions.
- Help support the IT team.
