Support the Marketing and Communications (“MarComm”) Specialist and Manager by coordinating all aspects of a systematic workflow for marketing and communications requests. These include a high volume of member care plans as well as other marketing and communications projects. Reviews, obtains approval on, and processes requests; tracks projects and prepares status reports for stakeholders. Liaises with internal teams and external stakeholders to ensure timely completion of projects in compliance with HPSM brand and other guidelines. 

 

Position overview

  • Monitor, review, and coordinate the intake of incoming project requests; this includes ensuring all necessary information has been included in the request, liaising with internal and external stakeholders to gather missing information, and working closely with MarComm colleagues working on content and production, to meet timelines.
  • Intake and directly process all care plan transition requests received from internal and external teams, including HPSM’s Integrated Care Management Department, California Children’s Services of San Mateo County, and the Care Plan Backlog Remediation Team; this includes submitting requests for language translation or other accessibility modifications, and seeing the requests through to print and fulfillment.
  • Track MarComm projects, maintain daily updates on status, and prepare other status reports for Manager and stakeholders as requested.
  • Monitor projects to identify those at risk of not meeting required timelines; escalate these to the MarComm Specialist and Manager as appropriate.
  • Assist with projects to support increasing HPSM’s in-house printing and mailing capabilities; this may include assisting and coordinating MarComm department tasks, and liaising with the HPSM Administrative department, in order to print and mail projects on premises that were previously outsourced to external vendors.
  • Ensure that member health information is appropriately protected and secured in the course of work, maintaining confidentiality in compliance with HIPAA and other relevant regulations.

 

Requirements

Education and experience

  • A high school diploma or equivalent.
  • One (1) year of experience coordinating projects or operational work, preferably on marketing or related content.

Knowledge of:

  • Microsoft Office products.
  • Adobe Creative Suite products.
  • Understanding how various marketing channels (social, print, web) interact with and support business objectives

Ability to:

  • Work cooperatively with others
  • Work as part of a team and support team decisions
  • Utilize a personal computer, including the range of Microsoft Office products (Word, Excel, SharePoint, OneDrive, PowerPoint, and Outlook) and Adobe Creative Suite products.
  • Learn new software applications and other tools used for project management
  • Complete tasks independently in a fast-paced environment.
  • Demonstrate excellent verbal and written communication skills with various audiences and individuals of diverse backgrounds.
  • Work well under pressure, follow direction and meet deadlines.
  • Adapt to changes in requirements or priorities for daily and specialized tasks and manage competing priorities.
  • Maintain health information confidentiality and follow information privacy and security best practices.
