Service Administrator
Responsibilities:
- Creation of Job Folders on Shared Drive
- Collect and organize data from the sales team, technicians, and office personnel
- Include pictures, emails, technicians notes and services notes from incoming calls etc.
- Assignment of Service Request Order (SRO) or Job numbers.
- Field incoming calls and assisting customers at front desk
- Research and purchase materials and parts for both external services and in-shop repairs
- Booking transactions in dual ERPs – Syteline and EZ-Solutions
- Posting labor, materials, and parts
- Processing approved orders (quote to invoice)
- Invoicing Brooklyn service jobs
- Transferring materials intercompany
- Maintaining the stock of consumables and tools
- Processing credit card transactions
- Service call scheduling in collaboration with sales team, supervisors, technicians and customers.
Qualifications:
- Strong Organizational Skills
- Proven ability to collect, organize, and maintain data across multiple departments (sales, technicians, office personnel).
- Experience managing and organizing digital files (pictures, emails, technician's notes, service notes, etc.) on shared drives.
- Attention to Detail
- Thoroughness in data entry, ensuring all relevant information is captured in the correct folders.
- Managing and accurately posting data related to labor, materials, and services.
- Experience managing customer (internal and external) inquiries and resolving issues promptly and professionally.
- Experience researching and purchasing materials and parts for both external services and in-shop repairs is a plus
- ERP Systems knowledge is a plus
- Experience with order processing from quotes to invoices, including invoicing for service jobs.
- Ability to maintain stock of consumables and tools, ensuring proper inventory levels and timely reordering.
Scheduling and Coordination Skills:
- Ability to problem solve and handle multiple tasks simultaneously while maintaining attention to detail.
- Familiarity with technical aspects of services and repairs, enough to communicate effectively with technicians, sales teams, and customers is a strong plus
- Ability to efficiently manage competing priorities, ensuring deadlines for job assignments, orders, and service requests are met.
- Interpersonal skills to work collaboratively with various departments (sales, office, technicians, supervisors) to ensure smooth operations.
