Associate Contract Administrator
JOB DESCRIPTION:
Job Summary:
The Associate Contract Administrator will administer activities with non-complex contracts for the sale of goods and services, equipment, materials and products. Responsible for review of solicitations, provide required support for proposals, some contract negotiation including terms and conditions, contract performance and contract closeout under the general supervision of the Manager of Government Contracts.

Examples of Duties and Responsibilities:
- Responsible for post award contract administration, follow-up, general problem solving and order status.
- Coordinate with Program Management, Supply Chain, Pricing and other functions as applicable to ensure contractual requirements are met.
- Participate in customer calls and meetings as applicable.
- Perform and maintain order entry in Cla-Val MRP and other Government systems such as Wide Area Work Flow (WAWF) and Commercial Asset Visibility System (CAVS).
- Maintain Contracts repository/ records ensuring consistency and standardization.
- Monitor On-Time contract deliveries.
- Review, prepare, and submit Repairs and Spares proposals in accordance with established departmental policies.
- Correspond with customers with respect to contract administration, receipt of orders, pricing, shipping information, clarification of requirements, and any other necessary information. Perform routine customer follow-up and coordination.
- Reviews and accepts all contract amendments and changes.
- Interface with accounting to resolve any payment issues on contracts.
- Responsible for ensuring proper document control is maintained.
- Provides on-going assistance to other departments within Cla-Val during day-to-day operations as needed
- Perform such other assignments as may be required from time to time by management.
- Regular punctuality, attendance, and absence reporting in conformance with company policies is essential to the successful performance of this position; and
- Fully comply with company rules, policies, procedures, and safety guidelines to ensure safe and effective operations.
QUALIFICATIONS GUIDELINES:
Any combination equivalent of, but not limited to, the following:
Experience/Training/Education:
Equivalent to a Bachelor's degreeor (3) to (6) years of experience in Government contract administration in lieu of degree.
Knowledge/Skills/Abilities:
- Must have excellent communication and oral communication skills;
- Must be computer literate in Word and Excel;
- Ability to define problems, collect data, establish facts and draw valid conclusions;
- Must have knowledge of the Federal Acquisition Regulations (FAR) & (DFAR);
- Strongly motivated, engaged and self-driven;
- Proven good judgment, organizational and problem-solving skills;
- Able to communicate effectively and work cooperatively with other department representatives;
- Able to structure and organize training programs to meet established goals;
- Knowledge of company sales practices and operating procedures.
Physical Requirements:
- Must be able to occasionally lift, move, and carry documents weighing up to 10 lbs;
- Ability to perform data input for extended periods of time;
- Most work tasks are performed indoors where temperature is moderate and controlled by office environment systems;
- Ability to work (sit and/or stand) at a desk for the majority of the work day; walking and/or standing may be required for the remainder of the work day. Length of time performing these physical requirements may vary from day to day and task to task;
- Requires grasping, writing, sitting, standing, walking, repetitive motions, pulling, pushing, listening and hearing ability, and visual acuity;
- Ability to operate office equipment such as computers, printers, filing cabinets, photocopiers and other office equipment as applicable;
- Able lift and carry product weighing up to 40 pounds to shipping dock, or obtain assistance, as needed; and
- Ability to perform essential functions of the job, as defined;
