Ensemble is a highly flexible and entrepreneurial commercial real estate investment firm that specializes in the investment, development and management of hotel, multi-family, office, life-science and healthcare assets.

Ensemble is looking to hire an Associate Property Manager who will report to the General Manager and work closely with the Director of Operations and the in-house leasing team. The Associate Property Manager will be based out of the Philadelphia Navy Yard office and will assist in supporting the management of the Philadelphia portfolio which currently includes over 1 million square feet of office, life science, garage, and retail space in addition to two office buildings in King of Prussia. The buildings are Class A, single and multi-tenant facilities.

Key Responsibilities:

• Physically visit and inspect each property on a routine basis. Review and discuss both positive and deficient findings with PM Team and building engineers. Coordinate and schedule any necessary follow-up to inspections ensuring property will always be maintained in a first-class manner.

• Manage janitorial and security contracts to specifications.

• Maintain and regularly update property information and comply with Energy Star, LEED, Benchmarking and Ownership Partner requirements for all properties within the portfolio.

• Follow Property Management Standard Operating Procedures and ensure their use in day-to-day operations.

• Meet and visit with tenants routinely to discuss satisfaction with building management and services provided.

• Utilize MRI/Angus (electronic work order system) to monitor work orders making sure procedures are being followed and the prompt handling of all tenant service requests.

• Prepare and manage requests for proposals for building services (i.e. janitorial, landscaping, HVAC, etc.). Review bids and contract work according to Standard Operating Procedures.

• Manage Contract Database; prepare, route and track contracts and file accordingly.

• Schedule and coordinate any vendor testing and/or maintenance appointments in the buildings, follow up through completion, file and track inspection forms.

• Review and process all invoices, checking for accuracy.

• Coordinate activities associated with Tenant Moves.

• Work with Office & Property Management Coordinator to execute fire drills/emergency planning, tenant appreciation events and the ordering and distribution of tenant gifts.

• Coordinate/manage building access programming.

• Assist with the preparation of annual budgets, including requesting/reviewing bids and entering budgets into Yardi for final presentation.

• Assist in the ongoing collection of accounts receivable.

• Review Ledger and prepare late fee reports.

• Maintain awareness of all capital improvements and ensure adherence to policies and procedures.

• Fulfill other duties and projects as assigned by Management.

 

Required Skills & Qualifications:

• Bachelor’s Degree preferred; relevant work experience can substitute for a degree.

• 2+ years’ experience in property or building management experience handling customer service and administrative issues related to real estate management is required

• Excellent written and verbal communication skills

• Sound judgment and decision-making skills

• A solution oriented and team-player mindset

• Ability to provide exceptional customer service

• Ability to work with multiple computer systems and prior experience working with computer software. Experience with Angus and Yardi are a plus.

• Ability to be “on call” to respond to building issues after hours

 

This position requires employees to be in-office Monday - Thursday. Fridays may be spent working from home or at the office.

 

Salary Range: $75,000-$80,000
