Research & Grants Coordinator - Manning - Administration
Schedule: Monday - Friday, 8AM to 5PM
Salary: $25.72 - $35.37
JOB PURPOSE:
The Research & Grants Coordinator is responsible for assisting the Research & Grants Manager with managing all internal and external research collaborations and provides support with government funded grants and subawards from local, state, and federal sources. The Research & Grants Coordinator is responsible for research administration tasks related to ongoing research projects, helping manage the onboarding process for new research partnerships, and circulating studies to the Research Review Committee.
The Research & Grants Coordinator must be able to demonstrate a high level of self-initiative to successfully perform all essential functions, duties, tasks, assignments, and responsibilities for the successful administration and management of research partnerships and program and grants.
Essential Job Functions:
- Supports the Research & Grants Manager with the management and administrative duties required to chair the El Rio Research Review Committee
- Assists in the planning, coordination, implementation, and evaluation of all research activities and functions for El Rio Health
- Collaborates with the Quality department to ensure all necessary business associate agreements, memorandums of understanding, and data use agreements are completed, when appropriate, for research projects and collaborations
- Collaborates and communicates with external Institutional Review Boards (IRBs) to ensure all necessary research approvals are in place before the commencement of research projects.
- Supports the Research & Grants Manager with conducting both internal scheduled and ad hoc audits of research records to ensure compliance with all organizational requirements, regulations, and standards.
- Assists and supports completion of internal and external audits conducted by El Rio departments, governing agencies, or supporting organizations.
- Ensures that the research program maintains all necessary confidentiality standards.
- Assist with the identification, evaluation and management of risks and challenges presented or inherent in research programs and research operations.
- Coordinates and supports the evaluation and monitoring of research activities and/or grant-funded programs and assists in the writing of specifications for evaluation or monitoring of research programs/projects.
- Gains and maintains a comprehensive understanding and proficient ability to ensure full compliance with all research regulations, standards, or requirements for local, state, and Federal laws; as well as all standards and requirements for internal/external grants or funding sources.
- Assists in the prompt and accurate reporting of program services by gathering, consolidating, and formatting data for required internal and external monthly, quarterly, and annual reporting to funders; monitoring accuracy and timeliness of input from program personnel; liaise with Director, other agency departments and personnel, and local, state, national and federal public and private agencies
- Monitors compliance with all applicable federal, state/local grants and any subcontracts related to those grants by reviewing guidelines, award conditions and prior audits to determine service, documentation, and reporting expectations of all government grant funding sources.
- Assists the Research & Grants Manager in assessing program practices, protocols, policies, and procedures to determine appropriateness of current activities and potential grant/research opportunities.
- Supports the Grants & Research Department in maintaining a matrix of grants compliance assessment instruments and prepares periodic status reports for the Chief Executive Officer, Chief Compliance and Risk Officer, and the Corporate Compliance Committee of the Board.
- Maintains a matrix of research projects and compliance assessments and prepares periodic status reports, as requested by Senior Leadership
- Documents areas of non-compliance and informs the Director and/or management team of findings.
- Assists program personnel in preparation for scheduled program audits or assessments.
- Assists in the development and preparation of proposals for new or continuing services and contracts by identifying, gathering, and preparing research and supporting data under the instruction of the Director.
- Maintains grant-related files to ensure compliance and help prepare for operational site visits and audits by the federal and state government.
- Coordinates contributing information from other departments as required by proposal guidelines by completing electronic or paper forms as required for timely submission; and formats, assembles, copies, distributes and archives completed proposals.
- Contributes to the preparation of budgets, narratives, biographical sketches, job descriptions, letters of support and other support documentation that meets the specific requirements of the request for proposal, at times exercises independent judgement to ensure that the finished proposal accurately reflects the mission and the vision of the health center.
- Contributes to the effective and efficient operation of the department, and provides prompt and seamless assistance to stakeholders, both internal and external to El Rio
- Demonstrates a high level of attention to detail and accuracy under tight deadlines in the preparation and revision of budgets, narratives, and supporting documentation.
- Maintains and organizes program documentation and related reports by reviewing interagency and internal correspondence and distributing as appropriate to program personnel and/or internal filing system.
- Assists in post-award activities such as grant-related program/stakeholder meetings, account creation, data analysis, reporting, and management.
- Establishes and maintains record keeping (filing) systems, both manual and computerized. Tracks grants subcontractor compliance activities, identifies and secures documentation of compliance activities related to facility policies and procedures, including but not limited to, HIPAA and Corporate Compliance
- Maintains a clean, safe, and hygienic work environment in compliance with all Policies and Procedures including but not limited to work areas, workstations, examination rooms, hand washing, infection prevention and control etc. for this position.
- Demonstrates an understanding of and proficiency with the application of all compliance and reporting requirements respective to Joint Commission Certification (JCC) standards.
Minimum Education and Experience:
- Bachelor’s Degree required, with areas of study in public health, health care administration, or related field from an accredited college or university.
- Three (3) years of research and grants coordination experience; preferably in a healthcare or related field.
If applicable, equivalent combination of education and experience may be considered, and must be directly related to the functions and responsibilities of the job.
Required Licenses, Certifications, and Registrations:
- Level I fingerprint clearance card: current valid and in good standing or have applied for it within seven working days after beginning employment.
- Employees in this position are required to have reliable transportation that can meet any operational reassignments of the organization during the workday. If an employee is driving during work hours, the employee is required to possess a valid driver’s license and must comply with Arizona vehicle insurance requirements.
Preferred Education, Experience, Skills, Abilities:
- Master’s Degree; areas of study in public health, health care administration, or related field
- Five (5) years’ experience in research and grants coordination
- Bilingual (English/Spanish) with the ability to speak, read and write in both languages.
