GENERAL SUMMARY
This position will be responsible for supervising and directing the day-to-day functions of specific areas within Commercial Loan Servicing to ensure all transactions are processed timely and according to separation of duties.
DIRECT REPORTS
The incumbent generally has 5 to 10 direct reports.
ESSENTIAL FUNCTIONS
- Establishes work schedules and priorities to ensure that workflow is controlled.
- Supervises and monitors staff who process routine loan transactions pertaining to the booking and servicing of commercial loans such as advances, payments, loan booking, renewals and other loan maintenance and that work is performed in a timely, accurate and complete manner.
- Ensures staff is trained and cross-trained.
- Provides direction and guidance to staff in the performance of their assigned duties which may include coaching and mentoring.
- Reviews daily, weekly, monthly general ledger reconciliations prepared by staff.
- Reviews, creates, and maintains desktop procedures, recommending changes to increase efficiency and productivity, and decreasing errors while maintaining data integrity.
- Monitors quality control for activities related to Commercial Loan Servicing.
- Obtains daily current loan rate indexes, monitors for update into loan systems, and provides callback of input into loan systems.
- Monitors the department’s shared email in-boxes, processes or delegates requests, monitors for completion of delegated items, and provides response to requestor.
- Reviews Line Sheet and approves Trade Innovations transactions and wire requests pertaining to those requests.
- Balances and approves daily IBS transaction balance sheets for staff.
- Monitors timely processing of paid-off loan files (return documents/refund check to lending officer, process full reconveyance, cancel Tax Service/Flood Certification, etc.)
- Monitors Pass-thru accounts to ensure timely clearance.
- Monitors designated exception items on tickler/tracking report to ensure timely processing.
- Provides product expertise to all levels of bank personnel.
- Monitors and processes manual Rate/Payment Adjustments.
- Researches and resolves more complex internal/external customer questions/discrepancies in loan accounting.
- Communicates clearly and effectively with all levels of positions (subordinates through senior managers).
- Other duties and projects, as assigned.
QUALIFICATIONS
- Experience: 5-10 years of experience in commercial loan servicing or relevant commercial and real estate administration industry with minimum of 3 years in a supervisory position service.
- Education: Requires a bachelor’s degree or equivalent experience.
- Skills/Abilities:
- Must be able to manage workflow effectively with frequent interruptions and changing priorities.
- Ability to work in a fast-paced environment while maintaining a high level of accuracy.
- Strong problem-solving and organizational skills
- Excellent written and verbal communication skills
- Bilingual (Mandarin or Cantonese) is a plus.
- Excellent analytical and problem-solving skills
- Excellent loan administration experience with knowledge of letters of credit, borrowing based lending, multi-phased construction, and multiple collateral properties.
- Thorough knowledge of commercial finance, documentation, accounting, and data systems.
- Ability to work effectively with individuals and groups across the company to manage internal and external customer relationships.
- Demonstrated ability to supervise employees, set goals, provide coaching, and hold employees accountable for results.
- Proven leadership and influencing skills, able to motivate a team to achieve goals and objectives.
- Versed in Microsoft Excel. Ability to create moderate to complex Excel files.
- PC literate, proficiency with MS Office.
OTHER DETAILS
$80K – $90K / year
Pay determined based on job-related knowledge, skills, experience, and location.
This position may be eligible for a discretionary bonus.
