Position Summary:
Hyatt Place Phoenix Downtown is seeking a highly motivated and detail-oriented Executive Meeting Manager to oversee all aspects of meetings, events, and group room blocks. This role focuses on driving sales, meticulous planning, and exceptional client servicing to ensure memorable and successful experiences for clients and attendees.
Key Responsibilities:
Sales:
- Actively solicit new business through prospecting, sales calls, site tours, and networking opportunities.
- Manage existing accounts to foster long-term relationships and ensure repeat business.
- Develop and implement strategies to meet and exceed revenue targets for catering, events, and group room blocks.
- Stay informed about industry trends, competitor offerings, and local market conditions to refine sales strategies.
- Identify upselling opportunities for AV equipment, specialty menus, accommodations, and other services.
- Work with groups requiring room blocks, ensuring efficient booking processes, and maximizing room revenue.
Planning:
- Collaborate with clients to understand their needs and create customized proposals for corporate events, weddings, banquets, social gatherings, and group room blocks.
- Prepare accurate proposals, contracts, and banquet event orders (BEOs) that align with client specifications and Hyatt standards.
- Coordinate event logistics, including menu selection, room setup, audiovisual (AV) requirements, and timelines.
- Oversee the details of group room blocks, including rooming lists, reservation cut-off dates, and special requests.
- Maintain detailed records of sales activities, client interactions, and event details using CRM tools.
- Track event and group performance while gathering feedback to improve planning processes.
Servicing:
- Serve as the primary point of contact for clients throughout the sales, planning, and event execution processes, ensuring an exceptional customer experience.
- Collaborate with banquet, kitchen, front desk, and operations teams to ensure seamless execution of events and proper handling of group room blocks.
- Address and resolve client concerns promptly and professionally.
- Oversee on-site event servicing to ensure client needs are met and any last-minute adjustments are handled efficiently.
Qualifications:
- Proven experience in event planning, group sales, or a related field, preferably within the hospitality industry.
- Strong organizational and multitasking skills with excellent attention to detail.
- Exceptional communication and interpersonal skills for building client relationships.
- Proficiency in CRM tools, event management software, and Microsoft Office Suite.
- Knowledge of catering, event logistics, room block management, and revenue strategies is a plus.
