We are seeking a full-time Executive Assistant immediately to work in our Arlington, VA office. The base salary for this position is $77,500 to $80,000 annually.
The Executive Assistant provides administrative and general project support to various departments and senior leaders within the bank. They will assist the executives and other staff within the company with day-to-day hands-on support. They will handle confidential data; assist with compliance and operational requirements; manage special projects as assigned; and interact with high-level executives and clients on their behalf.
Duties of this position include, but are not limited to the following:
- Provide administrative support & project/meeting participation to senior-level executives
- Assist with preparation of presentation materials; and generate data reports as requested. Various project work as assigned
- Consolidate portfolio financial reporting and executive management presentations
- Cover incoming calls at various times and correspondence and respond independently when possible. Serve as the point of contact for outside clients and internal employees in order to ensure prompt response time and to ensure efficiency of communications
- Create and maintain hard copy and electronic filing systems, including databases
- Manage calendars and independently schedule appointments. Coordinate meetings, conference calls, and other executive events; inform attendees/participants of function dates and times, reserve meeting space, arrange for audio visual and necessary equipment/materials
- Collaborate with other executive admins in other areas of company to help coordinate events, meetings, etc.
- Arrange and coordinate travel schedule and reservations for supervisor and/or team members, prepare agendas
- Manage expense reimbursement process for supported team
- Performs other duties as assigned
Education, Experience, and Skills:
- Bachelor’s degree and 5+ years related of experience required
- General knowledge and work experience within the securities industry is a plus
- Creative problem solver who can work independently and maintain project deliverables with limited supervision.
- Excellent organizational and time management skills with strong attention to detail. Ability to handle multiple concurrent activities and competing priorities in a fast-paced, high pressure environment
- Highly self-motivated, proactive and dependable, with a high degree of personal integrity and professionalism
- Experience with coordinating travel and meeting arrangements.
- Excellent verbal and interpersonal skills and phone manner. Ability to demonstrate discretion in handling confidential data and interacting with senior executives and team members
- High level of proficiency with MS Office
- Ability to quickly become familiar with the firm’s specific processes and tools/systems
