CORP - ACCOUNT_MANAGER_EXEMPT
JOB DESCRIPTION:
Responsible for the day-to-day administration of corporately provided policies, procedures and programs that assures a well-managed, well-maintained portfolio of buildings in assigned region. Maximum emphasis is placed on providing a positive response to the concerns and needs of the occupants and operational excellence programs, in coordination and conjunction with the Owner’s goals and objectives. Oversees all Operational activities to achieve Client objective using an integrated Facility Management organization.
PRINCIPLE DUTIES
- Customer Interface - Ultimately responsible for continual communication / interaction with Customer Peer and their employees relating to all conditions and appearance of the properties. Ensure that appropriate disciplines and auditing procedures exist and are updated for all functions managed in accordance with the account agreement as provided in the Scope of Work and other contractually provided guidance documents.
- Assists Facility Managers in the development of and ensures execution of all soft services maintenance programs relating to the interior and exterior conditions and appearance of the properties, assuring the highest levels of customer satisfaction.
- Assist all Facility Managers in the Administration of programs that effectively measure customer satisfaction with internal / external clients and vendors. Monitor, and address if applicable, problems or issues with staff providing seamless service to clients and vendors.
- Collect and analyze operational reports addressing operational data/activities to Regional Director (VP).
- Reviews and approves the selection of contract services, vendor negotiation of service agreements and day-to-day monitoring of vendor performance to assure full compliance with standards established within the service agreement.
- Work with Facility Managers to set and attain meaningful performance and developmental goals for their staff and for the Facility Managers. Monitor the progress of staff goals and provide appropriate support.
- Conducts Regional safety meetings in accordance with corporate EHS provided information, policies and procedures and ensures Facility Managers are performing safety meetings with their staff.
- Ensures that Facility Managers are performing weekly informal safety inspections and monthly formal safety inspections.
- Assists in establishing work plans for the department organizations and assists Facility Managers in assigning schedules and priorities. Solves problems within procedural limitations. Provides coordination with clients, support groups and contractors as needed.
- Works with safety, security, EHS and clients, reporting potential problem areas to regional management as applicable.
- Reviews and assesses scope of authorized work and continually monitors job progress against plan.
- Performs an audit function regularly to ensure high standards of workmanship are being met.
- Reviews project status reports from Facility Managers and directs the resolution of operational and maintenance problems to ensure minimum costs and prevent operational delays.
- Evaluates and approves subcontractor and vendor quotes, for site or facility projects and forwards to Vice President for final approval.
- Prepares Business Cases, when required, for proposed project or site/system modifications.
- Performs administrative activities associated with the effective management of operations, including compiling, storing and retrieving production data for reports.
- Trains and ensures all assigned Facility Managers are aware of and comply with Company, government and client policies, procedures and regulations.
- Responsible for managing regional FM budgets including the generation and analyzing proposed cost saving ideas.
- Complies with all Corporation, and EHS requirements and programs, as provided.
- Regional responsibility for up to 120 administrative locations and monitoring the financial obligations of these locations.
SUPERVISORY RESPONSIBILITIES:
Manages Facility Managers and monitors the Operations & Maintenance Department for Regional soft services. Responsible for the overall direction, coordination, and evaluation of Regional maintenance activities. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Has the overall responsibility of managing up to 120 employees within region of responsibility.
REQUIREMENTS
- 5 to 10 years’ experience in charge of Facilities or Property Management with Technologies organization. College degree preferred.
- Familiarity and knowledge of Work Order Control procedures and Computerized Maintenance Management Systems.
- Must be able to use personal computers, with emphasis on Microsoft Word®, Excel®, PowerPoint® and Project® programs.
- Project Management, Time management, accounting and finance skills
- Able to work independently and have full understanding or operating an integrated facility management organization.
- Able to travel throughout North America.
- Bilingual is a must.
Work Environment
While performing the duties of this Job, the employee may be exposed to moving mechanical parts; high, precarious places; fumes or airborne particles; toxic or caustic chemicals; outside weather conditions; risk of electrical shock and vibration. The employee may occasionally be exposed to wet and/or humid conditions. The noise level in some work environments may be frequently loud.
