Job Overview:

The Maintenance Dispatcher is a critical role responsible for managing incoming maintenance requests, coordinating

with maintenance personnel, and ensuring timely resolution of issues. As the primary point of contact for B&H

employees, the Dispatcher must maintain constant coverage during business hours to provide uninterrupted

support.

 

Essential Responsibilities:

· Provide continuous coverage: Maintain a constant presence at the maintenance hotline during business

hours to ensure timely response to employee requests.

· Receive and prioritize requests: Handle emergency and non-emergency maintenance requests via phone

and email, prioritizing based on urgency and impact.

· Dispatch maintenance personnel: Assign maintenance technicians to appropriate locations using radio,

phone, or computer.

· Manage work orders: Create, track, and update work orders within the Fiix/Jira ticketing system.

· Communicate with employees: Provide regular updates on work order progress and ensure customer

satisfaction.

· Coordinate with external service providers: Manage relationships with outside vendors for plumbing,

electrical, HVAC, and other services.

· Support administrative tasks: Assist with timekeeping, scheduling, and report generation.

· Manage documentation: Maintain organized records of maintenance requests and resolutions.

· Escalate emergency requests: Immediately escalate critical issues to management, clearly

communicating the situation and impacted departments.

 

Additional Responsibilities:

· Perform other duties as assigned by the Director or Senior Manager.

Specific Knowledge, Skills and Abilities:

· Excellent verbal and written communication skills.

· Strong interpersonal and customer service skills.

· Proficiency in Microsoft Office Suite and ability to learn new software applications.

· Strong organizational and time management skills with the ability to multitask.

· Attention to detail and accuracy.

· Ability to handle high-pressure situations and make sound decisions.

Preferred Education, Experience and Licenses:

· High school diploma or equivalent.

· Experience in dispatching or logistics.

· Customer service experience.

· Previous office or administrative experience.
