Job Description Summary

Basic Purpose

The Certificate Management Specialist (Client Relations Spec) role works closely with other Departments (Account Management, Scheduling, Finance, etc.) to research and ensure our clients’ devices and jurisdictional requirements are compliant. 

Those in this role will be working not only with clients, but with third party entities and maintenance companies to ensure that any violations are corrected in a timely manner.

The position has the authority to utilize company credit cards to process payments on behalf of Clients. Goes above and beyond to drive unparalleled performance in customer service and unequivocal commitment to ATIS’s Vision, Mission, and Values.

 

Scope

The Certificate Management Specialist helps manage jurisdictional compliance requirements to obtain conveyance Certificates/Permits in a timely manner.

 

Reporting and Working Relationships

This position directly reports to the Certificate Management Supervisor. In this role you will work closely with the Account Manager, Client, Client’s Maintenance Company, and the Authority Having Jurisdictions (AHJ), and/or other third-party entities.

 

Primary Responsibilities (100%) 

30%...Documentation of Certificates & Compliance Status

  • Manage, distribute, and electronically store all conveyance-related documents.
  • Process Inspection reports (ATIS, AHJ or 3rd Party) – record violations in NetSuite, track and record corrections are completed by Client and/or Maintenance Company.
  • Track and record status of Client’s conveyances in NetSuite
  • Ensure compliance notes are clearly and frequently documented and updated in NetSuite.

 

30%...Coordination with AHJs

  • Communicate with AHJ on behalf of Client regarding various conveyance compliance matters to ensure regulatory compliance in each state and local AHJ in which client’s conveyances are located.  Examples include:
    • AHJ Notices – record, research and respond.
    • Ensure reports are submitted to the AHJ as required.
    • Provide notice of correction or schedule re-inspection.
    • AHJ fee invoices - process payment via credit card or (ATIS) check
  • Develop and maintain knowledge of conveyance compliance requirements in numerous jurisdictions, as required by location of Client’s facilities.

 

20%...Communication with Client

  • Send routine status updates and hold regular meetings with the Client to discuss status of certificates and action items that are needed.
  • Follow-up with Maintenance Company and/or Client on status of corrections
  • Coordinate with Clients on the conveyance inspection process and reporting
  • Ensure ATIS and Client have copies of Certificates/Permits.

 

20%...Coordination within ATIS

  • Coordinate ATIS inspections, where allowed by AHJ, and ensure inspections are completed timely.
  • Escalate delays in completing inspections or receiving compliance through the appropriate channels.
  • Communicate with field staff when needed.

 

Work Environment

This position operates in a professional office environment.

 

Travel

Minimal travel required. This may include visits to regional offices, Company-required functions, and visiting potential acquisitions as necessary.
