EXECUTIVE OFFICE MANAGER

Are you a dynamic and organized professional with a passion for administrative excellence? We are seeking an experienced Executive Office Manager to join our team and play a vital role in supporting our CEO, CFO, and VPs. In this position, you will ensure efficient management and coordination of our agency’s activities, serving as the primary liaison to the CHAI Board of Directors and Board committees.

 

Responsibilities: In this role, you will serve as the main liaison for the CHAI Board of Directors. You will assist the CEO, CFO, and VPs with scheduling, meeting preparation, and various other administrative needs, ensuring their time is managed effectively and their meetings are well-organized. You will be responsible for maintaining the Board Portal and ensuring seamless communication. You will support the accounting team and senior staff with expense reimbursements and related financial tasks. Acting as a communication conduit, you will interface directly on behalf of the CEO with the Board of Directors, committee members, CHAI staff, community stakeholders, and others as directed. You will prepare and edit documents and spreadsheets, ensuring accuracy and clarity, as directed by the executive team. You will design and create compelling PowerPoint and other visual presentations to support various initiatives and meetings. Additionally, you will assist with various agency operational needs, including copying, filing (both paper and electronic), obtaining signatures, mailing, and other tasks that ensure the smooth operation of agency matters.

 

Proven experience in an executive support or similar role, excellent organizational and multitasking abilities, strong communication skills; both written and verbal required.  Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and the ability to maintain confidentiality and handle sensitive information with discretion are also required.

 

We are seeking a detail-oriented individual who is solutions oriented with a positive, “get things done” approach.  Familiarity with accounting and expense management processes is a plus. Qualifications

  • 3-5 years minimum administrative support experience at the executive level.
  • College degree preferred.
  • Supervisory experience a plus.
  • Public relations and/or operations experience a plus

 

Compensation & Benefits

$73,000-$78,000, commensurate with experience

 

Working Conditions & Physical Requirements:

  • Able to be present in the office, as appropriate.
  • Able to move freely about the office.
  • Able to operate a computer and other office equipment, including telephone, copy machine, fax, and printer.
  • Able to move supplies or equipment weighing up to 20 pounds, as needed.
