We are seeking a Project Support Specialist to provide Full-Time support to a NASA contract in Greenbelt, MD.

 

Job Summary:

 

Provide project support to the Safety Division, Quality and Reliability Division and Assurance Systems Division within the Safety and Mission Assurance Code 300 Directorate Office.

 

Responsibilities:

  • Manage calendars for Division Chiefs and Branch Heads as well as shared resource calendars such as conference rooms.  
  • Attend weekly staff meetings; record and disseminate notes and action items.
  • Provide general office support as necessary (photocopying, faxing, etc.) and provide back-up support to the Lead Project Support Specialist when needed.
  • Coordinate meetings/appointments/conferences/events and arrange for appropriate technology.
  • Write/edit administrative communications and compose professional documents/presentations.
  • Act as the Information Technology contact for the divisions; order services and supplies through the Enterprise Service Desk (ESD).
  • Order and maintain office supply inventories for each division office utilizing the Advanced Materials Management System (AMMS).
  • Coordinate and prepare shipping documents including packages for shipping with express mail purposes. 
  • Submit travel and voucher requests via the Travel Request Tool (TRT) for division staff.
  • Organize, maintain, and control a wide variety of paper and electronic files. 
  • Process NASA Scientific and Technical Information (STI) electronic Document Available Authorization (eDAA) submissions.
  • Provide back-up support to Directorate Office administrative staff when needed.
  • Process visitor badge requests via the Enterprise Visitor Access Management System (EVAMS).
  • Organize interview panels, coordinate interview schedules, and prepare materials for interview sessions; provide on and off-boarding support for division staff.
  • Coordinate the on-boarding and off-boarding processes for Directorate interns.
  • Other special duties as assigned. 

 

Requirements:

 

  • Knowledge of the GSFC systems such as AMMS, EUSO, IdMAX, MOSI, TRT and STRIVES is desired. 
  • Strong working knowledge of Office365, including SharePoint, Teams, Microsoft Word, Excel, PowerPoint, and Outlook.
  • Must have excellent oral, written, and interpersonal communication skills. Able to work with all levels.
  • Must have the ability to balance multiple priorities and respond/produce quality work efficiently with short deadline actions in a fast-paced environment.
  • The individual must also possess a strong sense of ethics, discretion, and professional sophistication. 
  • Ability to communicate project status and issues to customers and leadership as they arise. May be responsible for taking direction from leadership and distributing information to team members, stakeholders, and leadership quickly and efficiently.
  • Individual must meet government NAC and citizenship/permanent residency requirements for access to NASA GSFC. Extensive background investigation will be performed as a requirement of the job.

 

Education and Experience:

Bachelor’s degree and 2 or more years of experience.  Six years of experience in lieu of a degree.
