Welcome Center Coordinator
The Welcome Center Coordinator is responsible for the effective management of the Welcome Center, including management of student employees. The Coordinator is often the first face campus visitors see, and the first voice they hear; the Coordinators primary responsibility is to greet all visitors and guests and manage the main telephone line to answer questions and/or redirect calls and inquiries to the correct department or person. The position is responsible for oversight of the prospective student visit programs, including daily tour scheduling, overnight visits, open house events, and additional admissions and recruitment opportunities.
The incumbent must possess a strategic and curious mind with an ability to communicate and create interest in the College with prospective students. This professional must be enthusiastic, people-oriented and enjoy working with high school and college students. This position resides in a fun and fast-paced department, and the incumbent should live by details, have exceptional organization skills and have a positive attitude.
Essential Job Functions:
- Maintaining of the Welcome Center, ensuring all visitors and guests are welcomed warmly with the highest level of service. Serving as the primary greeter for visitors to campus and welcomes all visitors by greeting, answering phones and referring inquiries to appropriate personnel.
- Answering and routing emails sent to the admissions and financial aid email addresses.
- Fulfilling request for materials from prospective students and schools.
- General clerical tasks, such as collating, updating mailing lists, typing letters, read and route incoming mail correspondence, and more.
- Updating and maintaining the electronic visitor welcome screens regularly.
- Completing all purchase requisitions and work orders for administrative needs.
- Recruits, hires and trains all student workers, including the subset of student phone receptionists.
- Provides back-up when student receptionists/greeters are not available, including secondary bounced calls, and parent/guidance counselor calls in absence of regional counselor.
- Maintains the visit records within the Slate and Outlook systems, including review of student scheduling, creation of online visit appointment forms and dissemination of schedule across campus.
- Responsible for the scheduling of Overnight Visits, and the training of student coordinators who are the liaisons to the prospective students.
- Manages budget for student worker salaries, Group Visit costs, and daily visitor lunches.
- Prepares admission reports surrounding efficacy of campus visitation and analyzes data to support decision making.
- Arranges all Group Visits from scheduling and communication through room reservation.
Qualifications/Prerequisites:
COMMUNICATION
- Excellent listening, communication, interpersonal and relationship-building skills with the ability to communicate clearly in person and writing
SKILLS
- Strong interpersonal skills.
- Bilingual skills a plus.
- Experience in a higher educational setting preferred.
- Managerial expertise and energy for training teenagers.
- Familiarity with the Microsoft Office platform and ease in using new technologies.
- Have a thorough and well-versed understanding of Albright College’s academic, athletic, and experiential offerings and curriculum.
- Demonstrated ability to interact with prospective and their families, as well as employee groups within the college and external constituencies.
- The ability to maintain confidentiality with respect to files, correspondence, reports and other information.
- Generally works unsupervised, in a self-directed manner.
- Requires initiative and flexibility to restructure schedule as various needs arise.
- Evenings and weekends may be required.
- Fluency in Spanish, preferred
EMPLOYMENT EXPERIENCE
- Minimum of 2 years of related experience in customer service, administrative assistant, office operations, scheduling, training, or admission.
EDUCATION
- Bachelor’s degree, preferred
- high school diploma, required
