Job Summary:
The Fleet Lease Clerk is responsible for providing administrative support and ensuring the functioning of fleet leasing operations. The primary focus of this role will be managing lease agreements, coordinating vehicle maintenance, and maintaining accurate records. The Fleet Lease Clerk will collaborate with internal departments and external vendors to ensure efficient fleet management.
Accountabilities & Responsibilities:

Manage and administer fleet lease agreements, including vehicle acquisitions, disposals, and transfers.

Coordinate with clients, vendors, and internal departments to ensure seamless fleet operations.

Maintain accurate and up-to-date lease records, including vehicle information, lease terms, and lease-related documentation.

Process lease-related paperwork, such as lease contracts, insurance documents, and vehicle registration.

Assist in the preparation of lease agreements and renewal documents.

Monitor lease expiration dates and proactively communicate with clients regarding lease renewals and terminations.

Collaborate with maintenance and repair vendors to schedule routine servicing, inspections, and repairs for leased vehicles.

Ensure compliance with regulatory requirements and company policies related to fleet leasing.

Conduct regular audits of fleet data to identify discrepancies and reconcile any inconsistencies.

Generate reports and provide data analysis on fleet utilization, costs, and performance metrics.

Assist in developing and implementing strategies to optimize fleet efficiency and reduce operating costs.

Perform additional duties as assigned.
Experience & Education:

High School Diploma or GED required
-
1-2 years of experience in automotive, fleet management, or lease administrative role.
Knowledge & Skills:
-
Ability to read, write, speak and understand English.

Proven experience in fleet management, lease administration, or a similar role.

Demonstrated organizational and multitasking skills, with the ability to prioritize and meet deadlines.

Attention to detail and accuracy in maintaining records and documentation.

Computer software and applications experience, including fleet management systems, MS Office Suite (particularly Excel), and database management.

Effective communication skills, both verbal and written, with the ability to interact professionally with clients, vendors, and internal stakeholders.

Basic knowledge of automotive maintenance and repair processes.

Familiarity with relevant regulations and compliance standards in fleet management or lease administration.

Ability to work independently as well as collaboratively in a team environment.

Must be able to work in traditional office conditions, including sitting for extended periods of time.

Able to lift, push, pull, or move items weighing up to 25 lbs. for various needs, including maintaining traditional office equipment such as printers, fax machines, copiers, and computers.
