Job Title: Executive Assistant to the CEO
Location: Warwick, RI initially, will move to Woonsocket, RI in September. Occasional travel to all Thundermist sites may be required.

Job Summary: We are seeking an experienced Executive Assistant to provide high-level administrative support to the CEO, including managing the CEO's schedule, coordinating meetings, handling communications with stakeholders such as the senior leadership team and the board of directors, and performing various administrative tasks to ensure the efficient operation of the executive office. The ideal candidate has a bias to action and is comfortable taking initiative when needed.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and organizing travel arrangements.
- Communication Management: Handle incoming and outgoing communications on behalf of the CEO, including emails, phone calls, and correspondence.
- Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Document Preparation: Prepare and edit reports, presentations, and other documents as needed.
- Project Management: Assist in the planning and execution of special projects and initiatives led by the CEO.
- Confidentiality: Maintain the highest level of confidentiality and discretion in handling sensitive information.
- Liaison Role: Act as a liaison between the CEO and internal/external stakeholders, ensuring smooth communication and collaboration.
- Office Management: Oversee the day-to-day operations of the executive office, including distributing incoming mail.
Qualifications:
- Minimum of 5 years of experience as an executive assistant or in a similar role, preferably in a healthcare or nonprofit setting.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and prioritize tasks effectively.
- High level of professionalism and attention to detail.
- Ability to work independently and as part of a team.
Working Conditions:
- The person in this role will be required to work onsite most of the time, with occasional flexibility to work from home at the CEO’s discretion.
- Environment: Office setting with occasional travel required.
- Hours: Full-time position with standard office hours; may require occasional evening or weekend work.
