Job Summary

The Body Shop Admin is responsible for providing administrative support to the body shop department in an automotive repair facility. They handle various administrative tasks such as scheduling appointments, coordinating with customers and insurance companies, preparing repair estimates, processing invoices, maintaining records, and ensuring smooth communication between the body shop team and other departments. They may also assist in managing inventory, ordering supplies, and updating databases. This role supports activities of body shop Teammates in performing body repairs, including meeting time schedules and productivity levels and maintaining quality standards.

  • Monitors the progress of work of body shop tasks.
  • Establishes and maintains good working relationships with customers to encourage repeat and referral business.
  • Gives fair estimates on costs and time required for body work.
  • Follows up on parts department orders to ensure parts availability.
  • Monitors progress and completion of vehicles in the shop, ensuring that proper repair and safety procedures are followed.
  • Minimizes comebacks. Conducts periodic spot checks of completed jobs for thoroughness and quality.
  • Checks the quality of completed work.
  • Handles customer complaints immediately and according to DAA's guidelines.
  • Monitors paper flow to ensure that all documents are accounted for, filled out completely and legibly and filed or distributed to the appropriate parties.
  • Prepares final billing for completed repair orders.
  • Ensures that proper safety equipment is available and being used properly.
  • Monitors the maintenance of paint booths, frame straightening equipment, and other large fixed assets to ensure long-term usage and value.
  • Ensures that the work areas are kept clean.

Experience & Education

  • High School Diploma required.
  • 1+ year experience in a clerical or admin role, preferably in an auto body shop or related.

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
  • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.
  • Ability to read, analyze and interpret common scientific and technical journals, financial reports and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies or members of the business community. Ability to write speeches and articles for publication that conform to prescribed style and format. Ability to effectively present information to top management, public groups and/or boards of directors.

Reasoning Ability

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
  • Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  • Ability to apply principles of logical or scientific thinking to a wide range of intellectual and practical problems. Ability to deal with nonverbal symbolism (formulas, scientific equations, graphs etc.) in its most difficult phases. Ability to deal with a variety of abstract and concrete variables.
  • Valid Driver's License
