Job Summary:

Greets and assists dealers and visitors.   Utilizes the Cisco telephone system to answer incoming calls and directs callers to appropriate personnel by performing the following duties.

Accountabilities & Responsibilities:

  • Answers incoming telephone calls, determines purpose of callers, forwards calls and takes messages for appropriate personnel or department.

  • Answers questions about organization and provides callers with address, directions, and other information.

  • Registers new dealers into Auction Edge.

  • Assists title department with bad title reports and emails.

  • Assists accounting clerk as needed and cover when out of office.

  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.

  • Monitors visitor access and issues passes when required.

  • Takes payments for services and products.

  • Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary.

  • Performs other clerical duties as needed, such as filing and photocopying.

  • Data entry of invoices into the Sage 50 accounting software.

  • Works as a sales backup, calls buyers with offers accepted.

  • Assist other departments in the office when help is needed or directed by the office manager.

Experience & Education:             

  • One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

Knowledge & Skills:                 

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. 

  • Ability to write routine reports and correspondence. 

  • Ability to speak effectively before groups of customers or employees of organization.

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. 

  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • To perform this job successfully, an individual should have knowledge of Database software.
